1. Information we collect
Account details you provide — name, email, and role (student, mentor, or admin) — when you sign up through our passwordless login (Google or a 6-digit email code). A phone number is optional and only stored if you add it to your profile.
Profile information you choose to add, such as your target exam, preparation level, college, city, bio, and profile photo.
For mentors: verification material you submit, including rank or selection proof, government ID, and exam scorecards, used solely to confirm your credentials.
Booking and session data — the sessions you book, schedule times, payment status, reviews, and post-session notes.
Technical data automatically collected when you use the platform, such as device, browser, and basic usage logs needed to keep the service secure and reliable.
2. How we use your information
To operate the core service — matching you with verified mentors, processing bookings, hosting 1:1 video sessions, and delivering session notes.
To verify mentor credentials so students can trust that every mentor genuinely cleared the exam they mentor for.
To process payments securely through our payment partner and to confirm your bookings.
To send you essential service communications — booking confirmations, reminders, and account notifications.
To keep the platform safe, prevent fraud and abuse, and comply with applicable law.
3. Payments
Payments are handled by our payment processor (Razorpay). We do not store your full card or bank details on our servers — that information is processed directly by the payment provider under their own security standards.
We retain only the transaction reference and payment status needed to confirm your booking and provide support or refunds.
4. How we share information
We do not sell your personal information. Ever.
Limited profile details are shared between a student and mentor once a booking is made, so both parties can prepare for and attend the session.
We share data with trusted service providers who help us run the platform — hosting, database, payments, and video infrastructure — strictly to deliver the service on our behalf.
We may disclose information where required by law, or to protect the rights, safety, and security of our users and the platform.
5. How we protect your data
Access to your data is protected by row-level security, so users can only reach the records they are authorized to see.
Sensitive mentor verification documents are stored in private storage, never publicly accessible.
Secrets and credentials are held server-side and never exposed to your browser. Video sessions are secured with server-minted, single-session access tokens.
6. Your choices and rights
You can view and update most of your profile information at any time from your account settings.
You may request a copy of your data, correction of inaccurate information, or deletion of your account by contacting us.
You can manage your notification preferences from your settings. Essential service messages related to your bookings may still be sent.
7. Data retention
We keep your information for as long as your account is active or as needed to provide the service.
Certain records — such as transaction and booking history — may be retained longer where required for legal, accounting, or fraud-prevention purposes.
8. Minors
ClearedBy is intended for exam aspirants who are able to enter into a valid agreement. If you are under 18, please use the platform with the involvement of a parent or guardian.
9. Changes to this policy
We may update this policy as the platform evolves. When we make material changes, we will update the date at the top of this page and, where appropriate, notify you directly.
